MINUTES FROM THE REGULAR MEETING

WEST GEAUGA COMMUNITY JOINT RECREATION DISTRICT

August 3, 2016

Meeting was called to order by President Walt Waetjen at 7:00 pm at the pavilion of The Commons Park. Roll call was taken by clerk, Monica Gromek. Board members present: Linda Palchick, John Gromek, Rick Izant, Ed Curtis & Don Drockton. Jason Abate was also present.

Bill Bryan from the Travel Soccer Club requested the Board open the lower soccer field. Age levels have been adjusted from 2 to 3 11 yr. old field teams. The upper field gets lots of use. Season will be from Aug. 14 to Oct. 23, 2016 Sunday games. Spring will be mid-March practice and games start April 2017. Board agreed to open the field.

Doug Morehouse was here to observe the board meeting, possibly to be a board member. The board has 2 vacancies at this time.

The minutes for the July meeting were presented by clerk Monica Gromek. Ed Curtis motioned to accept the minutes; Rick Izant seconded. Vote was taken: Walt, yes; Linda, yes; John, yes; Don, yes; Rick, yes; Ed, yes. All in favor, motion carried.

The Treasurer’s report for July was distributed by treasurer, Ed Curtis. The July treasurer’s report showed: Ending checking balance: $11,266.08; Total disbursements: $9,240.25; Total deposits: $0; Unencumbered funds: $21,830.17; Encumbered funds: $15,956.50. John Gromek motioned to accept the treasurer’s report; Linda Palchick seconded. Vote was taken: Walt, yes; Linda, yes; John, yes; Don, yes; Rick, yes; Ed, yes. All in favor, motion carried.

Our parking lots and drive may be chip n sealed in the next few weeks. The Budget hearing is in 2 weeks.

Facilities – Linda Palchick                                                                                                                       Linda left a message for Jeff Mann that their insurance expired in June and all use of the fields are suspended until we get proof of current insurance. It was received today August 3. Walt Waetjen will talk to the present President of Rec Council, Abigail McCarthy concerning Jeff Mann. Our Board has concerns. Rec Council soccer tournament will be October 15, with set up on October 14. The fields will need to be lined Saturday and Sundays.

There is 1 new pavilion request for August 21 for a Novelty Homeowners Association picnic. The Parent Organization OHTSL of the Soccer Club wants to provide workshops for the travel league coaches. May 3, 2017. Bill Bryan submitted a permit.  The EPA permit for the latrines have been filed with the State.

The prices of field usage will be posted on our website. Ed Curtis thanked Linda Palchick for being so diligent.

Maintenance – John Gromek                                                                                                           Everything is good at the park. John Gromek motioned to encumber additional $400.00 to paint the rusty volleyball posts. Additional work is needed on these posts. Linda Palchick seconded. Vote was taken: Walt, yes; Linda, yes; John, yes; Don, yes; Rick, yes; Ed, yes. All in favor, motion carried.

Linda Palchick motioned to encumber $200.00 to replace the rusty winches for the volleyball nets. John Gromek seconded. Vote was taken: Walt, yes; Linda, yes; John, yes; Don, yes; Rick, yes; Ed, yes. All in favor, motion carried.

Levy – John Gromek reported we were 1 year early in our application. Will do the levy fall 2017.

 

New business – Frank Formicelli thanked the Board for their cooperation this baseball season.   Frank expects growth in the baseball program. The pitcher’s mound may need alteration in the spring of 2017. The base mats in the batter’s boxes need to be looked at. After discussion, the Board plans for this work next spring.

Xavier Zupp, Eagle Scout candidate, will pay for his own sup plies and submit the bills to the Board for reimbursement. Ed Curtis gave him our tax ID form. Xavier is planning to purchase supplies this coming weekend.
